Abstract submission guidelines

  • All contributions must be written in English
  • Abstracts should not exceed 350 words
  • All contributions must be original unpublished work
  • One author must be designated as the corresponding author for the paper
  • Our current paper management system will accept abstracts in Portable Document Format (PDF) and Microsoft Word (doc, docx)
  • We highly recommend the usage of the provided templates to generate your abstract
  • Template for abstracts can be downloaded here
  • Each submission will be reviewed for compliance with margins, headers, footers, page numbers, and other size specifications
  • Non-compliant Papers will not be included in the Conference Book of Abstracts

    Disclaimer:
Please note that any accepted abstracts not presented by their authors at the conference will not be included in the Conference Book of Abstracts.

Oral, Virtual and Poster Presentations

  •
    • Each contribution that is accepted to the conference program by the organizing committee and meets the final submission and registration requirements, should be presented at the conference as scheduled by the organizing committee.
    • The corresponding author is expected to register for the conference and present the work. If the corresponding author is not able to attend the conference, he or she may delegate this responsibility to a co-author. In such cases, no additional action is required other than for the delegated author to register for the conference and present the work.
    • Given the size of the conference and the number of contributions presented during the conference, the committee is unable to accommodate special requests for presentation types and/or scheduling accommodations.
    • Authors are encouraged to plan attendance for the full conference scheduled as all presentation dates are subject to change with or without notice.

    • ABSET enforces a no-show policy. Any submission which is accepted to the conference and is included in the final program must be presented at the conference, otherwise, it will not be included in the Conference Book of Abstracts, and the authors forfeit the opportunity to submit a full paper for potential publication in the Conference Proceedings.

Oral presentation guidelines

Create your oral slide presentation

The most effective presentations are visually appealing representations of your research, emphasizing and summarizing the main points.

Ensure that your slide presentation includes the following:

  • The title of the paper and the names of all authors at the top
  • Introduction, aim, material, methods, results, discussion, conclusions, references, and acknowledgments, if any.
  • Explanations accompanying each graph, picture, and table

Suggested aspect ratio: 16:9

Presentation file types: Power Point, Adobe Reader

Oral presentation:

  • Check the conference program for the specific location and timing of your oral presentation.
  • Bring a copy of your presentation file and any associated media files to your session on a USB flash drive.
  • Arrive at the specific location and timing of your oral presentation 15 minutes before the start of your designated session.
  • Look for the session chair, and let him/her know that you have arrived. He/she will guide you through the rest of the process.

Failure to attend the designated session 15 minutes before the session begins will result in being marked as a “no show.” Consequently, for such cases, the abstract will not be published in the conference’s book of abstracts, and the authors forfeit the opportunity to submit a full paper for potential publication in the conference proceedings.

Virtual presentation guidelines

Create your oral slide presentation

Ensure that your slide presentation includes the following:

  • The title of the paper and the names of all authors at the top
  • Introduction, aim, material, methods, results, discussion, conclusions, references, and acknowledgments, if any.

Suggested aspect ratio: 16:9

Presentation file types: Power Point, Adobe Reader

Virtual presentation:

  • Check the conference program for the specific location and timing of your virtual presentation.
  • Login 5-10 minutes before the beginning of the session of your presentation.

Failure to attend the designated session 15 minutes before the session begins will result in being marked as a “no show.”
Consequently, for such cases, the abstract will not be published in the conference’s book of abstracts, and the authors forfeit the opportunity to submit a full paper for potential publication in the conference proceedings.

Poster presentation guidelines

Create and print your poster

The most effective posters are visually appealing representations of your research, emphasizing and summarizing the main points. During the session, you will elaborate on the details in person.

Ensure that your poster includes the following:

  • The title of the paper and the names of all authors at the top.
  • Introduction, aim, material, methods, results, discussion, conclusions, references, and acknowledgments, if any.
  • Explanations accompanying each graph, picture, and table.

Consider the following guidelines for size, fonts, and color:

  • It is recommended to use a poster size of A0 [84.1 x 118.9 cm] or A1 [59.4 x 84.1 cm].
  • Font sizes: Title: at least 40-point type, List of authors: at least 20-point type, Body text (double-spaced): at least 16-point type.
  • Print a high-resolution copy of your poster for onsite presentation. Accepted sizes include A0 (84.1 x 118.9 cm) or A1 (59.4 x 84.1 cm).

Set up your poster in person

  • Bring your high-resolution printed poster with you to the meeting. The suggested sizes are A0 [84.1 x 118.9 cm] or A1 [59.4 x 84.1 cm].
  • Check the conference program for the specific location and timing of your poster session.
  • Set up your printed poster at least one hour before your scheduled session start time on the designated day.
  • Poster boards will be labeled with abstract numbers.
  • Locate your assigned abstract number and set up your printed poster in the designated space.

Poster presentation

  • One of the authors must present the poster personally; please note that ABSET does not print the posters; printing of posters is the responsibility of presenting authors.
  • Each poster should have a unique presenter; a single individual cannot present multiple posters.
  • Poster presenters are required to stand by their poster during the entire scheduled duration of the poster session to answer attendees’ questions.

Failure to hang the poster on the assigned board at least 60 minutes before the session begins and attend to it throughout the session will result in being marked as a “no show.” Consequently, for such cases, the abstract will not be published in the conference’s book of abstracts, and the authors forfeit the opportunity to submit a full paper for potential publication in the conference proceedings.

Review Process

Phase 1
  • All authors who wish to have a contribution considered for inclusion in the conference program must submit their work before the submission deadline. Late submissions will not be accommodated.
  • Authors are encouraged to thoroughly review their manuscripts. Once the submission deadline closes, requests to edit the initial submission cannot be accommodated.
  • Reviews are assigned by theme and keywords included in the paper during the initial paper submission process. Authors are encouraged to carefully select keywords and themes to ensure that their work will be reviewed by peers in the appropriate subject areas.
  • Each submission will be peer-reviewed by the Conference’s Scientific Committee.
  • Reviews are single-blind peer reviews where the identity of the reviewer is not visible to the author(s).
  • The qualitative and quantitative feedback from the reviews and other factors of consideration for the conference will be gathered to determine whether the conference should accept or reject the abstract.

Phase 2

  • On or before the scheduled and communicated notification date the conference will notify the corresponding author of the acceptance or rejection of the abstract along with any comments and/or suggested feedback received from reviewers. If accepted, the authors should update the submitted material to comply with any recommendations provided by the reviewers.

Phase 3

  • Authors should submit the final camera-ready version of their accepted work on or before the scheduled and communicated date. Contributions which do not complete the final camera-ready version of their accepted work on or before the deadlines outlined by the conference are subject to removal from the conference program.
  • Requests to update, edit, change, or add information will not be accommodated after the final submission deadline.
